Report Storage Policy

Generated reports are handled separately from uploaded source files. Standard individual reports are deleted after 60 days by default, while institutional reports are retained for two years unless authorised early deletion is requested.

Report retention period

For standard individual accounts, generated AI and plagiarism reports are deleted after 60 days by default. Reports generated under institutional Supervisor, Teacher, connected Student and approved public-submission workflows are retained for two years from the date of report generation unless an authorised early deletion request is approved.

Source files are different

The uploaded document and the generated report are not the same record. Uploaded source files are deleted automatically within seven days. Generated reports follow the applicable report retention period for the account and workflow.

Why QR verification matters

A report QR code is intended to confirm the original report generated by WordBinary. QR verification is disabled by default and appears only when Admin enables it for the account or institutional hierarchy. If a report is altered after download, the verification link helps the reviewer compare it with the retained report while the retention period is active.

Repository-submitted reports

Where a document is intentionally submitted to the internal repository, the repository submission may need to remain useful for future similarity checks. This does not mean every ordinary upload is stored in the repository. Repository submission requires an eligible account, a user selection and the required confirmations. Repository records are retained until separately deleted through an authorised institutional request.

Access by account type

Individual users see their own reports. Teacher and Supervisor accounts may see connected student or teacher reports according to the institutional relationship and permissions. Admin users can manage broader account and report workflows.

Best practice for users

Download reports that matter, keep your own original document, and use report verification when you need to confirm that a PDF report matches the original retained WordBinary report.
