Privacy and Document Handling

Privacy and document handling matter when users upload academic work for AI detection, plagiarism checking, grammar review or institutional submission workflows.

How uploaded documents are used

Uploaded documents are processed to provide the check selected by the user. WordBinary reads the extracted text needed for AI detection, plagiarism checking, grammar review, report generation, report verification and related account workflows.

Source files and reports

Uploaded source files are automatically deleted within seven days. Generated AI and plagiarism reports are retained separately from uploaded files. Standard individual reports are deleted after 60 days by default. Institutional reports are retained for two years unless authorised early deletion is requested through support.

Repository submission

Repository submission is not automatic. It appears only when the account has repository access and the selected check supports plagiarism review. If the user selects Submit to Repository, enters the institution or organisation name and confirms the required statements, extracted text may be stored for future similarity checks. Repository records are retained until separately deleted through an authorised institutional request.

Institutional visibility

Supervisor, Teacher and Student accounts support institutional workflows. A connected Teacher may see reports and activity for invited students. A connected Supervisor may see reports and activity for Teachers created by that Supervisor and the students connected to those Teachers. Normal individual accounts are personal accounts and are not automatically linked to an institution.

Public submission links

Enabled Supervisor and Teacher accounts can send controlled public submission links. The sender selects the allowed check type and repository setting, and credits are deducted from the sender according to the selected word limit. The submitter enters their name so it can appear on the report.

Best practice for users

Keep your own copy of important documents and reports, review the selected check type before uploading and choose repository submission only when you have the necessary rights and permission.
