How WordBinary Handles User Files
WordBinary uses uploaded files to generate the reports requested by the user. Uploaded source files, generated reports and optional repository submissions are handled as separate records.
What happens when a file is uploaded
The file is received, readable text is extracted where possible, and the selected check is processed. This may be AI detection, plagiarism checking, AI + plagiarism, grammar review, or an approved institutional public submission.
Source file deletion
Uploaded source files are automatically deleted within seven days. This deletion applies to the uploaded file used for processing, not to the generated report that the user downloads or verifies later.
Report retention
Generated AI and plagiarism reports follow the retention rule for the account and workflow. Standard individual reports are deleted after 60 days by default. Institutional reports are retained for two years unless authorised early deletion is requested through support.
Repository option
No Repository Submission is the default. Submit to Repository is available only to accounts with repository access and only for plagiarism-capable checks. If selected, the user must enter an institution or organisation name and confirm the required ownership and permission statements.
Bulk and institutional workflows
Eligible Teacher, Supervisor and Admin accounts may use additional workflows such as ZIP upload, connected account review, public submission links and folder management when those features are enabled. These workflows do not change the seven-day source file deletion rule. Institutional reports from these workflows are retained for two years unless authorised early deletion is requested.
Best practice for users
Upload only files you are authorised to submit, keep your own original copy, download important reports and avoid repository submission unless you have the necessary rights and permission.
